This policy explains what personal data BidPulse collects, why, and the rights
you have over it, consistent with India's Digital Personal Data Protection Act, 2023.
1. What we collect
- Account data — business name, your name, email, and (optional) WhatsApp number, collected at signup.
- Firm & bid data you upload — firm profiles, turnover figures, compliance documents (PAN, GST, ITR, certificates), work orders, letterheads, and bid records.
- Usage data — login sessions, alerts generated, and actions taken in the portal (e.g. shortlisting a tender). We do not run third-party ad trackers.
2. Why we use it
- To operate the service: matching tenders, sending alerts, preparing documents.
- To contact you about your account, billing, and service updates.
- To secure the service (session management, abuse prevention, backups).
3. Where it lives
Data is stored on servers located in India. Nightly backups are kept for disaster recovery. Passwords are stored only as salted cryptographic hashes; traffic is encrypted in transit (HTTPS).
4. Who we share it with
- No one, by default. We do not sell or rent personal data.
- Service processors, only as enabled: an email delivery provider (for alerts), WhatsApp Business API (if you opt in to WhatsApp alerts), and an AI provider used to categorise public tender text — your uploaded documents are not sent to the AI provider unless you explicitly use the AI document-extraction add-on on a specific tender.
- Authorities, if required by law.
5. Retention
Account and firm data is kept while your account is active. On a verified deletion request we remove your account, uploaded documents, and personal identifiers within 30 days (backup copies age out on the backup rotation schedule).
6. Your rights
- Access and correction — most data is directly editable in the portal.
- Erasure — email us to delete your account and data.
- Grievance — contact our grievance officer below; we respond within 30 days.
7. Cookies
We use a single essential session cookie to keep you logged in. No advertising or cross-site tracking cookies.
